Responsibilities PRIMARY FUNCTION: This position performs administrative duties including the Faculty Appointments and Promotions process for the entire Department of Medicine including the coordination of applications. This position also performs clerical, administrative and general office duties in support of the Chairman and Chief Administrator Officer. ESSENTIAL FUNCTIONS: Faculty Appointment & Promotions Serves as the main contact person from the Department of Medicine with the Office of Faculty Records Requests, compiles and prepares paperwork needed for processing of faculty appointment documents for new faculty and promotion paperwork for existing faculty Prepares/distributes appointment/promotion packets to appropriate committees Communicates with divisions during candidates appointment/promotion process Records minutes for monthly Appointment/Promotion Committee Meetings Maintais/updates volunteer and full-time faculty files/statuses Communicates with candidates regarding faculty appointment process Medical Staff Reappointment Assists the Executive Associate to the Chairman with reappointments Processes initial appointment and reappointment applications through divisions to al medical staff members Collects signatures and monitoring the completion of Medical Staff members reappointment checklists annually; delivering completed packets to the Medical Staff Office Assistance to the Chairman / Chief Administrator Officer Coordinates/schedules meetings and conference calls Assists in presentation preparation including Power Point slides Processes expense reimbursements Photocopys, packages and distributes materials for meetings and specific projects Interacts with co-workers, visitors, and other staff consistent with the iSCORE values of Jefferson Qualifications EDUCATIONAL/TRAINING REQUIREMENTS:High School Diploma or GEDEXPERIENCE REQUIREMENTS:Prior experience in an academic health care organization preferredADDITIONAL INFORMATION:Analytical, organizational and communication skills are needed. Ability to handle multiple tasks, flexibility regarding priorities and deadlines and ability to maintain confidential/sensitive information are essential.
