Req ID:?7962Shift: DaysEmployment Status:?AF - Active - Regular - Full Time?Job SummaryUnder the direction of the Associate Chairs of Academic Affairs and Education, and the Manager of Faculty Affairs, the Academic Coordinator is responsible for supporting appointment, reappointment and promotion processes associated with the employment of all faculty in the Department of Pediatrics.? These functions are critical to the recruitment and retention of department faculty, of which there are approximately 399 full-time faculty, 170 non-full time associated faculty, 101 Penn Medicine Clinicians and 149 Academic Support Staff appointments currently.?Job ResponsibilitiesIn support of faculty/physician appointments, reappointments and promotions:Prepares correspondence related to the Department?s Committee on Appointments and Promotions (COAP), including: recruitment, appointments, reappointments, promotions.Aids in the preparation/review of documents for faculty appointment, promotion and reappointment dossiers.Reviews/edits faculty curriculum vitae in the Faculty Expertise Database System (FEDS); communicates required edits to faculty.Files and organizes paperwork/electronic materials?Clinical Performance Evaluation process (new appointments and promotions in the AC track)Enters all respondent information into RedCapMonitor responsesCompile resultsSubmit to Office of Faculty Affairs and Professional Development for review and scoringAfter score is issued, add faculty candidate to DCOAP agenda (making sure personal statement, Chair rec and Academic Plan are received)?Extramural Consultant Process (new appointments and promotions Tenure, CE, Research):Perform searches of faculty CVs (accurate reporting the relationship of the faculty candidate and consultant)Access extramural consultant application system to accurately input consultant informationCraft consultant expertise statements according to Provost guidelinesSubmit accurate and up to date faculty CV and grant support as part of consultant review processAfter Provost approval is received, follow-up with references documents to FAPD and send pre-contact emails to consultants?For AC track appointments and promotions (Associate/Full Professor), solicit and track all requests for letters of recommendation.?For Clinical track appointments and promotions (Associate/Full Professor), solicit and track all requests for letters of recommendation.?Provides support for faculty recruitment/appointments, reappointments and promotions.?Aids in faculty search process by completing monthly search letter mailing.?Prepares correspondence related to the monthly meetings of the Department?s Committee on Appointments and Promotions (COAP), including the preparation of agendas, ballots, uploading faculty dossiers to server.?Processes annually all unsalaried Academic Support staff appointments and reappointments for Clinical Associates and Instructor Bs.?Processes annually all Pediatrics (internal) secondary appointments and reappointments.?Prepares documents for faculty 5th year reviews (annually).Required Licenses, Certifications, RegistrationsRequired Education and ExperienceHigh School Diploma/GEDPreferred Education, Experience & Cert/LicBachelor degreeMinimum 3-5 years administrative experience, human resources and/or academic experienceAdditional Technical RequirementsComputer literate; proficient in MS Office applications (Word and Excel)Ability to deal effectively and courteously with the public and all levels ofHospital, University and Board level personnelStrong interpersonal and organization skills.Consistently high level of discretion in handling confidential and sensitive information.Developed verbal, written and interpersonal communication skills.Detail oriented.Excellent organizational and time management skills; demonstrated ability to manage multiple priorities in high volume environment.Strong coordination and problem solving skills, with proven ability to meet deadlines.Willingness to learn new tasks and adapt to changeIndependent; ability to work effectively semi-autonomously
