We provide design, architecture, construction and construction management services throughout Chester, Montgomery, Berks and Lancaster counties in suburban Philadelphia. We design and build home additions, kitchens, bathrooms, finished basements, outdoor living spaces and more. Job Summary The Administrative Assistant is responsible for all of the administrative duties of this company. These duties need to be handled in a manner that allows the company to operate in an efficient and organized manner. These duties include general office duties, as well as supporting the production, marketing, sales and design departments. Qualifications: * Minimum 5 years experience in an Administrative Assistant role. * Bachelor's or Associate's degree preferred. * Computer skills to include Google Apps (Drive, GMail, Google Calendar, etc) or Excel/MS Word. * Mac and iOS familiarity a plus. * Efficient, well organized and self motivated. Interested in working in a small-office environment. * Strong organizational and multitasking skills. * Great communication skills - both verbal and written. Upbeat and personable with a can-do attitude. * Capable of representing the company with clients, prospects and vendors. * Requires analytical thinking, adherence to systems, concern for others. General Office Duties: * General office duties including filing, answering the phone, online document uploading and organization, maintain office supplies, banking and post office tasks. * Provide administrative support (business and personal) to Owner. * Support Design Department by ordering products, tracking their delivery, checking-in, getting to jobsite and handling returns. * Assist in the preparation and submission of building permit applications. * Support Production Department by managing vendors and subcontractors (Tracking Certificates of Insurance, Subcontracts, etc), managing building permit applications, making small vendor pickups and deliveries to job sites. Provide administrative support to Project Managers. * Support the Sales Department by answering the phone and qualifying leads, scheduling salespersons' appointments and sending appointment confirmations to clients. * Support the Bookkeeping Department with document transmittal and general filing.
