Job Description SPECIFIC DUTIES AND RESPONSIBILITIES : Conserves the President’s time by representing him internally; and providing liaison between key executives and employees. Represents the President by welcoming visitors, reviewing correspondence, and other corporate functions, answers questions and meeting requests directed to the President. Arranges calendar and meetings by developing itineraries and agendas, scheduling other transportation, arranging lodging and meeting accommodations. Completes projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans. Administrative tasks include but are not limited to: Manage and maintain CEO’s schedule. Manage and maintain CFS fleet vehicles. Manage and maintain CFS petty cash records and distribution. Manage and maintain CFS incident report system. Manage and maintain CFS logs and diabetic log system. Prepare reports, memos, letters and other documents using word processing, spreadsheet, database, or presentation software. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Open, sort and distribute incoming correspondence including faxes and email. File and retrieve corporate documents, records, and reports. Greet visitors and determine access to specific individuals. Prepare response to correspondence containing routine inquiries. Assist in problem-solving routine issues. REQUIRED SKILLS: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Knowledge of principals and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Ability to manage multiple projects independently.
